The Retainer Layer That Keeps Everything Compounding.
Automation is not set-and-forget infrastructure.
APIs change. AI models drift. Integrations silently break. Without active stewardship, the system you built six months ago is quietly delivering less than it did on launch day. The managed service closes that gap and keeps performance moving in one direction.
Five disciplines, one continuous programme.
Each pillar addresses a different layer of system performance. Together they ensure the stack stays healthy, improves, and earns its place in the P&L.
System monitoring
Every automation, integration, and AI flow is watched continuously. When an error surfaces — a CRM sync failure, a broken webhook, an AI response timeout — we catch and resolve it proactively, often before you notice.
Ongoing optimisation
We review your analytics each month to identify where leads drop off, which sequences underperform, and where small changes move the needle. Improvements are deployed regularly, not annually.
AI tuning
AI models drift. We review conversation logs, correct misunderstandings, expand knowledge, and refine tone. Your AI gets measurably smarter the longer it runs — it does not plateau.
Support and maintenance
Changes to workflows, user access, integrations, or copy are handled through a prioritised ticket queue. No in-house technical resource required; you focus on the business.
Monthly performance review
Every month you receive a plain-language report: leads captured, appointments booked, sequences delivered, and revenue influenced. We walk through the numbers and set priorities for the month ahead.
Compounding improvements
Each optimisation cycle builds on the last. The system does not return to baseline after each review — it ratchets upward. Twelve months in, you are operating a materially better revenue engine than you launched with.
Three tiers, scoped to where you are.
Every engagement is a fixed-scope retainer. No hourly billing, no ambiguity. Choose the tier that matches your operational stage — and move up as you grow.
Care
Covers the essentials that keep every system live and recoverable. Designed for teams that have launched their first automation and need reliable operational cover without the overhead of managing it in-house.
Deliverables
- 24/7 system monitoring and error alerting
- Integration health checks and break-fix resolution
- Monthly uptime and status report
- Prioritised support ticket queue
Expected outcome
You stop chasing technical issues. Problems are caught and resolved before they affect leads, bookings, or revenue.
Optimise
Everything in Care, plus a structured programme of conversion improvement. Every month we review the data, identify where the system is leaving performance on the table, and ship improvements.
Deliverables
- All Care-tier deliverables
- Monthly conversion analysis across workflows
- A/B testing of sequences, copy, and routing logic
- AI conversation-log review and model tuning
- Detailed monthly performance review call
Expected outcome
Metrics compound. The same infrastructure generates more qualified leads, more booked appointments, and a higher close rate — without rebuilding anything.
Partner
Full-stack retainer for businesses where the automation layer is core revenue infrastructure. Combines Care, Optimise, and a dedicated strategic capacity — including new builds, expansion into additional workflows, and quarterly planning.
Deliverables
- All Optimise-tier deliverables
- Dedicated account lead and strategy sessions
- Quarterly roadmap planning and new-build allocation
- Priority deployment for additional workflow or AI expansions
- Executive-level KPI dashboard and reporting
Expected outcome
Your system evolves with the business. New channels, new services, and new AI capabilities are folded in on a rolling basis rather than as ad-hoc projects.
Month three is better than month one. Month twelve is better than month three.
The managed service is structured so every optimisation cycle builds on the last. Conversion improvements, AI accuracy gains, and workflow refinements do not reset — they stack. By the end of the first year you are operating a materially more productive revenue engine than you launched with.
Systems stay live
Proactive monitoring prevents silent failures from eroding lead flow.
Conversions improve
Monthly optimisation cycles move metrics without rebuilding anything.
AI gets smarter
Regular tuning means your AI handles more intents with higher accuracy over time.
Visibility stays clear
Monthly performance reviews give you real numbers, real attribution, real decisions.
Frequently asked questions
Why can't we just manage the system ourselves after the build?
You can — but most teams find that without a dedicated resource watching it, automations quietly degrade. APIs change, integrations break, AI responses drift off-message, and conversion rates slip without anyone noticing. The managed service exists to prevent that silent erosion and to keep improvements compounding rather than stalling.
What is the difference between the Care and Optimise tiers?
Care is operational cover: monitoring, break-fix, uptime, and support. The system stays live and healthy. Optimise adds a proactive improvement layer on top — monthly conversion analysis, A/B testing, AI tuning, and a structured performance review. If growth is the objective, Optimise is the tier that moves metrics.
How does AI tuning work in practice?
Each month we pull the conversation logs from your AI agents and review them for missed intents, incorrect answers, tone inconsistencies, and new questions the model was not equipped to handle. We update the knowledge base, refine the prompt architecture, and test the changes before pushing them live. Over time the AI handles a wider range of conversations with higher accuracy.
What is included in the monthly performance review?
A written report covering the core metrics for your deployment — typically leads captured, qualified, and booked; sequence open and conversion rates; AI interaction volumes and resolution rates; and any system incidents with resolution detail. We follow this with a call to discuss the numbers, agree priorities, and confirm the optimisation focus for the next month.
Can we upgrade between tiers as the business grows?
Yes. Tiers are designed to scale with you. Most clients start on Care or Optimise and move to Partner as the automation stack expands and the operational stakes increase. Transitions happen at the next billing cycle with no rebuild required.
How do we raise a support request?
All tiers include a prioritised support queue accessed via a shared workspace channel or ticketing system agreed at onboarding. Partner-tier clients have a named account lead for direct escalation. Response and resolution SLAs are defined in the engagement agreement.
